Aisles & Gangways

Exhibitors and contractors are not to leave items in the aisles. Exhibitors/Contractors must remove all waste materials other than small items. Designated emergency exits and pathways must be kept clear at all times - a floorplan of the emergency exits can be found in the on-site Organisers' office. Please ensure you adhere to these rules to ensure a safe & accessible build-up and you must co-operate with our Floor Managers. 

During the open period no objects must protrude from the stands into the aisles nor must furniture or displays or parts of displays be placed in the aisles. 

Under no circumstances may an Exhibitor (or staff member working on behalf of Exhibitors) be permitted to distribute any promotional material (including printed or other cards, circulars, articles, leaflets) at any point within the exhibition centre other than on their allocated stand space. This restriction includes the gangways surrounding your stand and all public spaces.

Alcohol, Drugs & Smoking

If you are intending to offer samples of your product at BCB London, you are required to conform to the venue’s sampling regulations, detailed in here and within the manual.

BCB London is run in strict accordance with this policy, and at all times promotes sensible drinking in accordance with the legislation and Tobacco Dock Premises License. 

You must complete the Alcohol Licensing & Sampling Declaration if you wish to offer alcohol samples from your stand.

Please can we request that ALL exhibitors DO NOT give bottles (full or half full) to visitors to take away. Bags searches will be in operation on leaving the show and all bottles found will be confiscated. Only bottles with an exhibitor receipt will be permitted to be removed from the venue. We ask that ALL exhibitors respect the Drinking Up policy of 30 minutes prior to the close of show.

Balloons

Helium Balloons, Blimps and Toy Balloons are NOT permitted.

Children

Children under the age of 18 will not be permitted in the halls during build and breakdown under any circumstance. 

On event open days, no one under the age of 18 years will be permitted to attend.

Admissions Policy

Cleaning, Hygiene & Waste

It is your responsibility to maintain your stand in a clean condition at all times.

For system stands we have arrangements for basic stand cleaning to be carried out at no charge to you the day before show opens. The cleaning of exhibits will remain your responsibility, as will any special services that may be required such as the removal of bulk rubbish. Standfitting materials, carpet, pallets etc. are not included in the cleaning service and must be removed by the exhibitor or contractor. Any costs incurred for the removal of this type of waste will be forwarded to the exhibitor concerned. 

Space Only stands have no cleaning included within their package, and we recommend you pre-book your overnight stand cleaning in advance here.

PLEASE NOTE that you will incur charges if you or your contractor leaves excess waste during build up and breakdown.

Code of Practice


Please ensure that your stand is staffed at all times during the open period of the show and that all exhibits remain displayed during the show open hours. In order that no discourtesy is shown to last minute visitors to the show, we ask that no dismantling of any displays or exhibits commence before 1800hrs or until all visitors are clear from the venue on 1st July.

 

We do however ask that all sampling to stop 30 minutes before the close of show at 1730hrs to allow for visitors to finish samples and make their way out.

Customs Clearance

Documentation for Wines and Spirits arriving from within the EU

‘Wines and spirits arriving from within the European Union are subject to Excise Duty and therefore must be submitted on the EMCS system. It is the responsibility of the consignor to ensure that all information is completed correctly on the EMCS system. A copy of the EMCS and the EMCS number must be forwarded to CEVA prior to being delivered to Tobacco Dock and made available to CEVA Showfreight onsite. CEVA Showfreight will then present the EMCS information to HM Customs and Excise. Any taxes incurred will be charged to the exhibitor. EMCS documents should be scanned and emailed in advance to [email protected].

If you’re exhibiting at a trade show, conference or exhibition, and you plan on using licensed music through either radio, TV, laptop, mobile phone, other digital devices and/or live performances on your exhibition stand, then you’ll need to purchase TheMusicLicence to cover you to do so legally.

Demonstrations & Presentations  

Demonstrations and presentations can take place on exhibition stands throughout the event as long as they are in line with the following event guidance;

  • Demonstrations/presentations must be safe and without risks to health and safety and where necessary covered by a risk assessment. 

  • Demonstrations/presentations must take place within the exhibitors stand space and not cause any obstruction within the gangways or surrounding stands.

  • Demonstrations/presentations likely to interest groups of 10 or more people must be located towards the centre of the stand and clearly shown on submitted stand plans.  

  • The noise level of the demonstration/presentation must not cause interference to any meetings taking place or cause nuisance to any other Exhibitor.

 

All stand activity should be detailed in the stand information form

The organiser reserves the right to cancel and demonstration/presentation or restrict the frequency if the above points are not met.

Dilapidations

Please remember that you are responsible for rectifying any damage caused to the fabric of the exhibition building, by you, your agents or contractors. In your own interests you should satisfy yourselves as to the condition of your stand site before the building of your stand and after its clearance. 

It is essential to use a recognised adhesive tape when fixing any carpet directly to the hall floor as all carpet tape must be removed at the end of the exhibition. Any charges incurred by the organisers as a result of failure to remove carpet/carpet tape will be passed onto the exhibitor. 

Forklift trucks and motorised pallet trucks are not allowed within the building - alot of the walling within Tobacco Dock is glass and therefore care must be taken when moving stand materials and stock through the venue. Any damage incurred will be charged back to the exhibitor and could affect the look of the show as any damage to the glass windows will not be fixed in time. 

The stand space must be completely clear and clean by the end of the dismantling period. 

 Any waste left behind is subject to a charge.

Disabled Access & Parking

There is no parking at Tobacco Dock. We suggest booking a space close to the venue if you do wish to travel by car. The closest car park is Yellow Park (open 07:00-19:00, Monday-Friday), and spaces can be booked on their website: https://yellowpark.co.uk/. There are accessible parking bays located next to the lifts within the car park.

Parking is not permitted on any loading bay; vehicles should be loading/unloading or move clear of the loading bay.

Filming and Broadcasting

It is not permitted, without the prior approval of the Operations Team, to engage in or permit filming, sound or video recording, telecasting or broadcasting within the Venue. If approved, in certain cases, such activities may be subject to an additional charge as determined by the Operations Team. Please contact the Operations Team to discuss. 

First Aid  & Accidents

First Aid will be available onsite. If you require medical attention, please contact the Organisers Office or any member of the exhibition team.

All accidents and near-misses must be reported to the Organisers via the Organiser's' Office, Floor Managers or Health & Safety Officers.

HM Revenue & Customs  

Exhibitors requiring customs clearance should employ the services of the official freight forwarding agents Ceva in advance of the freight arriving in the UK. All goods must be customs cleared at the point of entry into the UK as HM Customs & Excise no longer attends UK exhibition sites.

Logistics: Traffic, Deliveries,  Lifting & Storage

Internet & Communication  

General wifi will be available to visitors and exhibitors at Tobacco Dock. If you require anything more substantial you might want to purchase a stronger connection.

Loading Bays

We have two loading bays – Loading Bay 1 & Loading Bay 2. Please take note when you have booked in your vehicle of which loading bay you are told to go to by Ceva our official logistics partner  

To ensure an effective load in/ load out process for you, access to both Loading Bay areas is permitted on a ‘Drop and Go’ basis only.

PA System

The Public Address system is for use of the Organiser and Authorities only. Only official and emergency messages will be broadcast, any requests for information to be announced will be refused.

Pallet Trucks & Forklifts  

Under no circumstances are Motorised Palllet trucks or Forklifts allowed within the venue.

Tobacco Dock or the organisers don’t have any pallet trucks or trolleys onsite, so if you are likely to need these, please make sure you bring them with you. Or contact our official logistics partner to help you move your items to your stand.

Patents & Copyright

By entering into an agreement to attend this exhibition you warrant to RX Global that all designs and artwork on or relating to your stand and any exhibits and items displayed on your stand shall not infringe any trademarks or copyright or patents or other intellectual property rights of any third party in any way.

In the event that the exhibition is under any legal obligation (whether by virtue of a court injunction or order or judgement or a recommendation or decision of a Trading Standards Officer or otherwise) to have removed either any item or items displayed on your stand or any design or artwork on or relating to your stand then (without prejudice to any other rights which RX Global may have) RX Global reserves the right to assist the relevant authorities and where appropriate to have that item or items removed from your stand or to close your stand at the exhibition. No compensation or damages will be payable as a result of such removal or closure by RX Global.

The Organisers cannot accept responsibility for any conflict of trading at the Exhibition

Please be advised that it is an offence under Section 107 (3) of the Copyright, Design and Patents Act 1998 to screen films in public without a non-theatrical licence. For further advice on copyright please contact Federation Against Copyright Theft (FACT).

Promotional Materials
