Exhibitor Catering
Food & Drink Sampling
- Please can we request that ALL exhibitors DO NOT give bottles (full or half full) to visitors to take away. Bags searches will be in operation on leaving the show and all bottles found will be confiscated. Only bottles with a sample sticker added to it will be permitted to be removed from the venue. We ask that ALL exhibitors respect the Drinking Up policy of 30 minutes prior to the close of show.
- Sample stickers can be collected from the organisers office.
- All stand catering must be ordered through Tobacco Dock Food, pre-packaged food is okay to bring in provided a detailed HACCP is written up.
Alcohol Licensing
All exhibitors supplying alcohol samples must have a personal licence holder present on site (in some instances, a named, authorised representative may suffice) and comply with the venue’s Premises Licence conditions. All exhibitors must complete the Alcohol Licensing & Sampling Declaration to confirm that you have a personal licence.
The serving of alcohol at BCB London
The below applies to all exhibitors offering alcohol for sampling or consumption at their stands during BCB London.
- Staff serving alcohol must be briefed on the Licensing Act 2003 requirements, including:
- No sales or supply to those under 19 (the legal age for purchasing alcohol in the UK).
- No service to intoxicated individuals.
- All exhibitors should have a personal license holder present on their stand to demonstrate competence in managing alcohol service.
- Challenge 25 policies should be adopted: request ID (e.g., passport, driving licence, or PASS-accredited card) from anyone appearing under 25.
- Exhibitors must ensure staff serving alcohol are trained in responsible service practices, including recognizing intoxication and refusing service to minors (challenge 25) or intoxicated individuals.
- An incident register must be maintained to log any alcohol-related issues (e.g., underage attempts, intoxication), and incidents must be reported to the organisers office immediately.
- Exhibitors must comply with local health, fire, and safety regulations, ensuring alcohol service does not compromise the safety of attendees or staff.
- Access to stands must be supervised to prevent unauthorized consumption.
- The exhibitor is responsible for ensuring compliance with this policy and applicable laws. Failure to comply may result in cessation of alcohol service, removal from the exhibition, or legal penalties as outlined in the Licensing Act 2003 or local regulations.
HACCP
Exhibitors providing food or drink must carry out and document a thorough food safety risk assessment know as a HACCP plan. The Hazard Analysis and Critical Control Points plan must consider the hazards and focus on measures in dealing with them. This includes the sale or supply of alcohol.
Within the HACCP plan or separately you must also detail your allergen management plan. Within this you must recognise the possibility of illness or even death caused by an allergic reaction. The allergen management plan must include the following:
Accurate and verifiable information available for the consumer to review
Listing the 14 names allergens
Signage advising the consumer that this information is available
Recognition that consumers may have intolerance to a wide range of foods
Effective segregation of foods containing allergens
Procedures to be followed in case of allergic reactions
You will not be required to submit this in advance, however you must have a copy of this available if requested.

Catering (General)
Situated within the Exhibitions halls are a number of foodtrucks available on show open days 30th June & 1st July. There are plenty of cafes etc around Tobacco Dock for during Build up and break down. Drinking water will be available.
All food and drink for consumption on the premises must be obtained from the official venue caterer, Tobacco Dock Food. If you require stand catering or stand deliveries, please click here.

Glassware
Each visitor on arrival at the show will be given an ISO wine glass for tasting purposes. There will be one glass available per person, which, when sullied can be exchanged for a clean glass. Please sample responsibly and return to a glass collection point one finished.
Exhibitors are not permitted to bring their own glassware, this must be ordered through our official glassware provider Sensible Wine Services.
Wash Up Facilities
There is a limited communal wash up area within the back of the show for exhibitors to use to wash their own equipment. Exhibitors are not permitted to bring their own glasses.
Please use this area as and when necessary but we request you clean up and leave the area as you wish to find it.
Ice
If you require your free 12kg bag of ice (cubed or crushed) each morning of the show please fill out (this form), which will be delivered to your stand. If you would like to pre-order additional ice then please use the order form here.
Please note that if there is no one on the stand to receive the ice this will be taken back to the ice truck within loading bay 1 for the exhibitor to collect. The Organisers do not take responsibility for ice not delivered in time for show open.
Ice Buckets
Ice buckets are NOT provided. We request that these are purchased in advance.
For all other stands, we request that these are purchased in advance and recommend Amazon or B&Q who both sell 40 litre flexi tubs/buckets at a cost of approx. £6-10.
Spittoons
Spittoons will be provided throughout the show. A dedicated cleaning team will be monitoring and replenishing these as necessary.
Exhibitor & Contractor Welfare
We all have a duty of care to help and support event industry professionals and here at RX Global, the safety and wellbeing of everyone onsite is one of our top priorities. Everyone has a role to play to look out and care for our colleagues and peers and we can all do this by taking the following steps:
- Don’t request or plan for stand designs that can not be safely and comfortably constructed and dismantled during the published time available.
- Provide sufficient amount of onsite crew to reduce long working hours
- Ensure adequate breaks for staff
- Everyone on site should have access to drinking water, catering facilities and rest rooms
- Be kind. Be considerate
Emergency Procedures
Evacuation or partial evacuation is on the advice of the Venue. Should an emergency occur that necessitates an evacuation, an announcement will be made over the PA system. Exit the building immediately via the nearest exit point and make your way on foot to your closest Assembly Point. Please refrain from using mobile phones at this time.
Whilst at the Assembly Point you will be kept informed of developments. When the emergency has ceased you will either be invited to return to the exhibition to resume normal business or advised to return the next day – in which case you will not be permitted to return to the exhibition to collect vehicles, bags, briefcases etc.

Security
A badging system is in place to ensure all personnel are registered and associated with the show.
Exhibitor badges / e-badges are essential for open days, unfortunately no badge no entry! During the build up and breakdown period all contractors must have a contractor wristband / e-badge.
Advice for Exhibitors
Whilst every reasonable precaution is taken to ensure the safety and security of personnel and equipment and the premises are patrolled day and night, we cannot accept any responsibility whatsoever for any injury, loss or damage or any consequential losses which may befall your personnel and their property.
Exhibitors are responsible for the security of their goods, please consider how you can secure your products and belongings whilst on-site. We recommend that valuables are not left unattended on your stand and are removed or locked away each evening. This is particularly relevant on the closing evening and throughout the breakdown period. During the day be aware of your space - report anything or anyone suspicious to security. If you are a victim of theft please report it immediately.
